This template works best when each missing item has an owner, due date, and status. Avoid vague requests like “send everything for the month” once the first reminder has passed.
Checklist structure
Group requests by close blocker
- Statements: bank, credit card, loan, merchant, sales platforms.
- Transaction support: receipts, invoices, memo/context for uncategorized items.
- Client decisions: owner draws, reimbursements, mixed-use purchases, unusual activity.
- Entity-specific items: payroll, inventory, trust/escrow, job costing, sales tax reports.
Reminder cadence
Use specific follow-ups
- Day 0: send the full request with due date and status expectations.
- Day 3: remind only on items still missing or unclear.
- Day 7: list close-blocking items and ask for dates on unavailable documents.
- Day 10+: escalate internally before the client receives another generic nudge.
Tracker fields
Minimum tracker columns
- Client or account nickname — avoid exposing sensitive client names in shared templates.
- Document or answer needed.
- Close impact: blocking, helpful, or optional.
- Requested date, due date, last reminder date, and next action owner.
- Status: not requested, requested, waiting, received, not applicable, escalated.
