Keep the first request specific enough that the client can act without asking what “everything for the month” means.

Pair the email with status fields

  • Document or answer needed.
  • Why it matters: blocking, helpful, or optional.
  • Requested date, due date, and last reminder date.
  • Owner: client, bookkeeper, reviewer, or firm admin.
  • Status: requested, waiting, received, not applicable, or escalated.
Workflow note

Make each reminder narrower than the last

The strongest client document request process gets more specific over time: broad initial checklist, item-only reminder, then internal escalation before another generic email goes out. This keeps the client from rereading already-completed requests and helps the firm see exactly what blocks the close.
