Send one complete first request
List the exact documents and answers needed for the month, the due date, where the client should respond, and what “not applicable” looks like.
Use this when monthly close keeps slipping because reminders live in someone’s head, inbox, or spreadsheet. The goal is not more messages. The goal is one clear system for who is waiting on what.
List the exact documents and answers needed for the month, the due date, where the client should respond, and what “not applicable” looks like.
Track each missing item separately with status, close impact, last reminder date, next owner, and whether the item blocks close.
After the first request, stop resending the full list. Send shorter reminders that name only the unresolved blockers.
If a client is still silent, decide inside the firm whether to pause close, change the deadline, or send a higher-priority note.
Look for repeat blockers: unclear request language, missing due dates, client confusion, or tasks that should move earlier next month.
Keep this note factual and specific. Do not bury the remaining blockers under a full monthly checklist after the client has already received the first request.
Define when a staff member should stop sending another reminder and instead flag the account internally. A clear escalation rule prevents both silence and over-follow-up.
Nudge Invoicing maps your current document request workflow, tightens the reminder language, and produces a simple tracker and SOP handoff asynchronously. No calls, no client contact, no accounting-system access.
